I recently had a learner who wanted advice on when to use Gemini in their workflows. They felt like they sometimes took just as long trying to explain what they wanted and tweaking results as they would have taken doing the job without Gemini in the first place.

If AI is supposed to be a productivity tool, why does it sometimes feel like a time sink?

The secret isn’t in writing better prompts: it’s in knowing when to walk away from the keyboard.

1. The “Newest Cook” Rule

Think of Gemini as the newest cook in a busy kitchen. You would trust them to chop onions or peel potatoes, but you wouldn’t let them decide the final seasoning of the signature soup.

AI excels at low-context, high-volume tasks like reformatting data, summarising long threads, or brainstorming headlines. However, if a task requires 100% factual precision in a niche area, the correction loop will almost always eat your ROI.

2. Aim for 80%, Not Perfection

The biggest trap in AI usage is trying to prompt-engineer your way to a perfect output. The real power of Gemini is killing blank page syndrome.

The Pro Move: let the AI get you to 60% or 80% in sixty seconds. If the remaining 20% requires nuanced logic or deep correction, stop prompting.

Copy the good bits into a document and finish it manually. You will save twenty minutes of frustrating back-and-forth.

3. Standard vs. Nuanced

When I am out training enterprise teams, the biggest breakthrough happens the moment users learn to categorise their tasks before opening a chat.

Use Gemini for standard tasks, like outlining or ideating, where the overarching structure is the primary goal. Keep the nuanced tasks, such as navigating sensitive client politics or connecting contradictory internal data points, securely inside your own brain.

AI is a tireless intern, not your replacement. Use it to build the foundation, then step in to provide the soul.
